What Is a Certified Birth Certificate Translation?

A certified birth certificate translation is a complete, word-for-word translation of the certificate into English (or another target language) that comes with a signed and dated certificate of accuracy from the translator. USCIS requires a certified English translation for foreign-language documents submitted with its applications. Courts, universities, Department of Motor Vehicles (DMV) offices and consulates set their own submission requirements.

Our certificate of accuracy states that the translator is competent in both languages and that the translation is complete and accurate, and it carries the translator's name, signature, date and contact details on Vanan Services letterhead with our stamp. The translation mirrors the original line by line, including every seal, stamp, registration number and handwritten note.

A notary watches the translator sign the certificate for a birth certificate translation, then adds a notarized seal.

Certified, Notarized, Sworn or Apostille: Which One Do You Need?

  • Certified translation ($25 per page): the translation plus the signed certificate of accuracy. This is what USCIS requires.
  • Notarized translation ($15 per page extra): a notary public witnesses the translator's signature on the certificate of accuracy. USCIS does not require it; some courts, consulates, banks and foreign authorities do. See our notarized translation services.
  • Sworn translation: a translation by a translator sworn before a court or authority in countries that use that system, such as Spain, Italy, France and Germany. See our sworn translation services.
  • Apostille: an authentication of the official signature or seal on a public document, or on a notarization, for use in the 120+ contracting parties to the Hague Apostille Convention. It is issued by a designated competent authority in the place where the document or the notarization originated; we prepare the translation so it is ready for that step and advise on the process. For a certificate issued in New York City and used abroad, the long-form certificate and a Letter of Exemplification from the NYC Health Department are usually required before the apostille.

Professional Birth Certificate Translation Services Online

We translate foreign birth certificates into English for USCIS, courts, universities and the DMV, and English birth certificates into Spanish, Italian, Portuguese, Japanese, Korean, Haitian Creole, Tagalog and other languages for consulates and citizenship applications. We also translate birth certificates from Spanish, Russian, Hindi, French and Chinese into English. Orders are accepted online from every US state, and you can walk in at our Midtown Manhattan office any time, Monday to Friday.

Since 2009, Vanan Services has delivered certified translations of birth certificates for government agencies and immigration authorities worldwide. Every project is covered by a binding non-disclosure agreement (NDA).

Standard delivery is 24–48 hours for a single certificate, and Rush delivery within 2 to 24 hours is available for immigration interviews and filing deadlines. Our translators work to a 99+% accuracy standard, and we maintain formatting & layout retention, so your translated document mirrors the original structure and an officer can compare the two line by line.

Vanan Services is a member company of the American Translators Association (ATA). Fewer than 20% of candidates pass the ATA certification exam, according to Kent State University, so the credential is a meaningful one; our own translator assignments are based on the language pair and the type of civil-registry document. Official, sworn, and literal translations are available for online birth certificate translation services.

Certified birth certificate translation starts at $25 per page for vital records, including the signed certificate of accuracy, with discounts on bulk orders and for students. Contact us at 1-800-230-7918 for your free quote and begin today.

Comprehensive Birth Certificate Document Translation Solutions

Navigating the complex world of vital records and civil documents from different countries requires specialized expertise, especially when your foreign birth certificate contains intricate scripts or unique formatting. Our vital document translation support helps prepare these records for immigration, education, legal, and administrative requirements. We also handle handwritten document translation, ensuring even manually written certificates are accurately transcribed and translated without loss of information.

Whatever script the certificate uses, names are transliterated to match your passport or earlier filings, and diacritics, registration numbers, seals and stamps are carried over exactly, so the translation delivers reliable results at the receiving office.

For those in need of accurate translations, we offer specialized services in Mexican birth certificate translation, ensuring precise and reliable results. We use glossary & terminology consistency tools to keep names and civil-registry terms consistent across translated certificates for official and immigration use.

Our Immigration, Refugees and Citizenship Canada (IRCC) translation services are prepared to the language requirements of Canadian immigration documents: IRCC accepts an English or French translation by a translator certified in Canada, or a translation with the translator's sworn affidavit where that alternative is permitted, and we prepare the format your application allows.

USCIS Birth Certificate Translation Services for Immigration

A foreign-language birth certificate filed with USCIS must come with a full English translation, and the translator must certify that the translation is complete and accurate and that they are competent to translate (8 CFR 103.2(b)(3)). The USCIS Policy Manual applies the same rule to adjustment-of-status filings. Those are the two requirements the regulation sets. Here is how our USCIS birth certificate translation services meet them, and the preparation practices we add:

  • Complete, word-for-word translation: every field, date, stamp, seal, registration number and handwritten note, with nothing left out.
  • Signed certificate of accuracy on company letterhead, stating the translator's competence in both languages, with name, signature, date and contact details.
  • Independent translator: the regulation does not bar a family member who is competent in both languages, but an independent translator avoids questions about impartiality, so our translators sign the certification on company letterhead.
  • Mirrored layout, so the officer can compare the translation with the original line by line.
  • Notarization only when asked for: USCIS does not require a notarized translation. It is available at $15 per page for courts, consulates and banks that do.

Submit a legible copy of the original certificate together with the certified translation. USCIS generally accepts copies for the initial filing and may request the original later; we work from a scan or a phone photo of every side.

Our USCIS document translation services can cover several documents in the same filing, from marriage certificates to police clearances, under one deadline.

Your documents receive confidential & secure services protection throughout the process, while a dedicated project manager supports and guides you from submission to completion.

For medical professionals seeking licensure, we offer certified translations for the Educational Commission for Foreign Medical Graduates (ECFMG), prepared to its stated requirements. A family from Mexico needed birth certificate translation services to support their USCIS immigration application.

Our translators carefully translated and formatted each document in English, following the USCIS requirements above. Delivered within 24 hours, the translations were accepted without issues, and the family moved on to their green card interview and a new life in the U.S.

For applicants facing tight filing deadlines, our same-day certified translation service is available on request for single-page certificates, with the signed certification prepared to USCIS requirements.

Need your translation notarized for a court, consulate or bank? We handle that too. A translation that misses a seal, a stamp or the certification statement can lead to a Request for Evidence, so our USCIS birth certificate translation services are prepared to the requirements above the first time.

Certified Birth Certificate Translation Services for Government Acceptance

Legal document requirements can feel overwhelming when your future depends on getting everything right. You need translations that meet strict government standards, and that's where our certified and notarized translation services come in. Every document includes a complete competency statement from the translator, plus contact information and the attestation details the receiving office checks.

Our certification statement is written for USCIS, courts, and international agencies, and the receiving office's own review makes the final decision. We also provide certified academic records translation to support educational, legal, and immigration requirements for students and professionals alike.

Documents used in any of the 120+ contracting parties to the Hague Apostille Convention, listed by the Hague Conference on Private International Law (HCCH), may need an apostille, which adds processing time and cost.

An apostille is issued by a designated competent authority in the place where the public document or notarization originated. We prepare the translation for that use and advise you on where to request the apostille.

Who is asking for your birth certificate translation?

  • USCIS (Forms I-130, I-485, I-751 and N-400, when a foreign-language birth certificate is submitted): a complete certified English translation; notarization is not required by USCIS.
  • U.S. passport, DMV or Social Security office: requirements differ by agency and application. For U.S. passport applications involving foreign-language citizenship evidence, the State Department requires a professional English translation and a notarized letter from the translator confirming accuracy and competence. Social Security can arrange translation of the evidence it reviews, and DMV rules vary by state, so confirm with the office before ordering.
  • Courts and family law (adoption, custody, name change): a certified translation, often with notarization.
  • Universities and licensing boards: a certified translation, usually with the diploma or transcript in the same order.
  • IRCC: an English or French translation by a translator certified in Canada, or a translation with the translator's sworn affidavit where IRCC permits that alternative; tell us the application and we prepare the format it allows (see the IRCC translation link in the section above).
  • Consulates and citizenship applications (Italian citizenship, Overseas Citizenship of India (OCI), Japanese and Korean family registries, dual citizenship): an English certificate translated into the consulate's language, often with an apostille.

Requirements vary by receiving office, application type and destination country, so confirm the requested format before ordering. Tell us the receiving office when you order and the right combination of certification, notarization and apostille guidance is prepared the first time.

Frequently Asked Questions

The questions we get every day, answered straight. No fluff.

Our certified birth certificate translations are prepared to USCIS requirements: a complete word-for-word English translation, a signed certificate of accuracy stating the translator's competence, and a layout that mirrors the original. The reviewing officer makes the final decision; if USCIS questions any detail of the translation, we correct it free of charge within 30 days of delivery.
Certified birth certificate translation starts at $25 per page, including the signed certificate of accuracy, and a standard birth certificate is one page. Notarization is $15 per page when a court or consulate requires it, and a mailed hard copy within the US is $20. Bulk and student discounts are available, so the quote you approve is the full cost.
Yes, on request for a single-page certificate. Standard delivery is 24–48 hours, and Rush delivery within 2 to 24 hours covers immigration interviews and filing deadlines; tell us your date when you order and the delivery time is confirmed in writing before work starts.
Yes. Both formats are translated completely, including registrar annotations and marginal notes. A standard certificate is one page; if a long-form certificate runs to more than one page, or an annotated back page also needs translating, each additional page is counted separately and confirmed in the quote.
Yes. Fields, seals, and signatures appear in the original positions for line-by-line comparison. Editable source files like Word or InDesign come back in the same format, and scans are rebuilt to match the original page for page.
100+ languages into English, and English certificates into other languages for use abroad. If your exact pair isn't listed anywhere on the site, ask anyway: the network is broader than the pages.
Yes. Notarization ($15 per page) is added when a court, consulate or bank requires it; USCIS does not require it. For use abroad we advise on the apostille steps; the apostille is issued by the competent authority in the document's country or state of origin. Tell us the destination country and receiving authority when you order, and the right combination of certification, notarization and apostille guidance is prepared the first time.
Yes. Family sets are translated with matched name spellings across every document, and bulk discounts apply. Large batches keep one style standard and one point of contact, so the last file matches the first. See our translation services for families.
Yes. Non-disclosure agreements and secure transfer protect every record. Access is limited to the team assigned to your project, transfer is encrypted end to end, and we can work under your organization's own confidentiality agreement in addition to ours.
Upload a clear scan or phone photo, tell us the receiving office, and the certified translation comes back as a secure PDF ready to submit. You get the price and delivery time in writing before anything starts, support is available 24/7, and you can also walk in at 224 W 35th St, New York, Monday to Friday.
A certified translation. USCIS requires a complete English translation with the translator's signed certification of accuracy and competence; it does not require notarization. Notarization adds a notary's witness of the translator's signature and is asked for by some courts, consulates and banks, so we add it only when your receiving office needs it.
Any competent translator who certifies in writing that the translation is complete and accurate and that they are competent to translate from the source language into English. USCIS does not require an ATA-certified translator, and the regulation does not bar a competent family member, but an independent translator avoids questions about impartiality. Our translators sign the certification on company letterhead.
A legible copy of the original foreign-language birth certificate and the certified English translation, filed together. USCIS generally accepts a copy for the initial filing and may request the original later; the translation is filed as a scanned PDF for online filings and as a printout for paper filings.
Upload a scan or phone photo of the certificate, front and back, and tell us the receiving office. A Spanish to English birth certificate translation is delivered as a certified PDF in 24–48 hours, from $25 per page, with names spelled to match your passport. We translate Spanish-language certificates from Mexico, Spain, Colombia, the Dominican Republic and the rest of Latin America, with names checked against the spelling on your earlier filings.
Online, from any US state, through our upload form or by email; or in person at our Midtown Manhattan office at 224 W 35th St, New York, open to walk-ins Monday to Friday. Either way the translation is done by a human translator and delivered as a certified PDF, with a mailed hard copy available for $20.
Usually one. A standard short-form certificate is one page at $25. If a long-form certificate runs to more than one page, or a back page with registrar notes or an apostille page also needs translating, each additional page is counted separately, and we confirm the page count in your quote before you pay.
