I was delighted with the quality of the translation and especially with the incredibly quick turnaround. I was in government offices, suddenly realized I needed a foreign language document officially translated, and Vanan had it back to me within an hour.

Readily available, helpful, and professional customer service. I had all my questions answered and my translation ordered within 20 minutes of accessing the webpage, and all via online chat. In an era of online chatbots, it was a pleasure to have a clear, efficient, communication with a human being. Aaron was excellent.
I needed to get a document translated into French. I found Vanan Online Services. My representative Vincent provided a low cost quote, handled my matter quickly, professionally, and my document was to me within 24 hours. Great job Vincent nd Great job Vanan. I have you saved in my contacts. 👍👍👍
I have been utilizing the translation services of Vanan on and off for nearly a decade now. It has been so seamless working with them. Would recommend Vanan for anyone needing documents translated from Haitian Creole and/or French to English!
Very friendly service from start to finish. I needed a certain part of my divorce decree translated and they went above and beyond to ensure I was satisfied with the final result. Also, I forgot to mention that they delivered way earlier than I expected. I highly recommend them :)))
Along with translations and transcriptions, their 3-second timecodes were especially helpful. I would recommend Vanan to anyone looking for language translations. 5 out of 5.
What is a certified visa translation?
A certified visa translation is a complete, word-for-word translation of a document into the language of the receiving authority, delivered with a signed certificate of accuracy. The certificate states that the translator is competent in both languages and that the translation is complete and accurate; it names the document and the language pair, and it is signed and dated by the person certifying the translation, with their name. The American Translators Association (ATA) lists these as the minimum contents of a certification statement. In the United States the translator does not need to hold a certification, and for USCIS the certificate itself does not need a notary; authorities outside the United States may add requirements of their own.
For USCIS filings the rule is 8 CFR 103.2(b)(3): a document in a foreign language is submitted with a full English translation that the translator has certified as complete and accurate, together with the translator's certification that they are competent to translate. USCIS does not require the translation to be notarized. Every Vanan certificate is prepared to that requirement; the reviewing officer decides whether a filing is complete.
Certified, notarized, sworn or apostille: which one does your visa need?
| Type | What it is | Who usually asks for it | At Vanan Services |
|---|---|---|---|
| Certified translation | The translation plus a signed certificate of accuracy | USCIS, the National Visa Center, and the embassies, consulates and institutions that accept certified translations, each under its own instructions | Included: $25 per page |
| Notarized translation | A notary public verifies the identity of the person signing the certificate; the notary does not check the translation | Some consulates and foreign authorities, on request | Add-on: $15 per page |
| Sworn translation | A translation made by a translator sworn in before a court or ministry in a civil-law country | Consulates and courts of those countries | Available for the language pairs where we have sworn translators; tell us the country when you order |
| Apostille | A certificate that authenticates a public document for use in another Hague Convention country, issued by the competent authority (in the United States, the Secretary of State of the issuing state, or the U.S. Department of State for federal documents) | Foreign authorities in Hague Convention countries | We do not issue apostilles; we prepare the translation and tell you which authority issues the apostille |

Who Requires Visa Translation Services & When?
Foreign-language documents filed with USCIS need certified translation services: a complete English translation with the translator's certification. For U.S. consular and foreign visa applications, the receiving authority's instructions decide which documents need translation. Immigration attorneys rely on digital and physical copy delivery to meet filing deadlines, and applicants rely on formatting and layout retention, because USCIS may issue a Request for Evidence (RFE) when supporting evidence is incomplete. Our glossary and terminology consistency keeps terminology consistent and flags any discrepancy in names, dates and places against the source documents, and a dedicated project manager supports and guides you through complex requirements. If you're on a tight schedule, express translation can shorten the delivery date without compromising quality.
From students preparing university applications to families reuniting with loved ones, professional translation services close the language gap in a visa file. Working professionals also use our employment contract translations and employment letter translation for work visa petitions and relocation.

What does the certificate of translation look like?
Certified Visa Translation Services for Immigration Documents
When your immigration case depends on accurate document translation, the certificate matters as much as the translation. A missing certification statement or an incomplete translation can lead USCIS to request additional evidence or corrected documentation, which may delay processing until the requested documentation is provided. Documents issued in different countries may also carry different translation or authentication requirements (certification, notarization or an apostille), so we ask you to name the receiving authority before work starts and confirm which applies.
Who can translate a document for a visa application? USCIS does not bar an applicant or a relative from translating, but a certification signed by someone with a stake in the case invites questions, so an independent translator who is competent in both languages can help avoid questions about impartiality.
Each certified translation includes a signed statement of accuracy and translator competence on company letterhead, with the responsible signer identified on the certificate. Sworn statements and affidavits are translated under the same certificate, and we prepare asylum documents for immigration officers and courts.
Why risk delays when you can have peace of mind? Vanan Services is a member company of the ATA, and translators with immigration experience are assigned to your case by language pair and document type, treating each document like it belongs to their own family. Every certified translation goes through a four-stage human review (translation, editing, proofreading and a final check against the source), and rates are stated per page before you order.
Document Types We Translate for Visa Applications
When your visa application includes documents that need English translation, Vanan Services handles the whole set in one order. Each document is translated in full, including stamps, seals, dates and margin notes, and checked before delivery by a second linguist. Need it fast? Rush delivery within 2 to 24 hours is available for urgent deadlines, and same-day delivery is available on request for single-page documents.
For visa-related medical records, our medical document translation service covers medical certificates, vaccination records and hospital reports. Travel document translation, including passports, refugee travel documents and re-entry permits, is delivered with the same certificate of accuracy.

USCIS Translation Services for All Vital Documents
When your application depends on complete documentation, start with the civil records your application instructions request. Our vital document translation services prepare birth certificates, marriage certificates and other official records for immigration review, page for page. Single-page records and full application sets have different delivery times, and the date is confirmed in writing before work starts, to help you plan delivery around your filing deadline.
For USCIS filings, 8 CFR 103.2(b)(3) requires a complete English translation and the translator's certification of competence and accuracy. The NVC and U.S. consulates follow Department of State instructions, which can differ by document language and consular post. Our USCIS certified translation page explains what the certificate covers; police clearance certificates, court records and other essential documents are handled with the same care and precision.
To support New York’s diverse immigrant communities, we also provide Marathi, Hindi, Korean, Bengali, Russian, Haitian Creole, Yiddish, Italian, Polish, and Arabic translation, to support local application needs.
We protect your sensitive information with a non-disclosure agreement (NDA) throughout every project. Feeling anxious about your application timeline? Our 24/7 customer support team provides the reassurance and assistance you need, whenever you need it.

(Birth Certificates, Marriage... )
How long does visa document translation take?
Single-page documents such as certificates and licences are delivered in 24–48 hours, and same-day delivery is available on request. A full visa application set usually takes 1–3 business days; the page count, the source quality and the language pair set the date, and it is confirmed in writing before work starts. Rush delivery within 2 to 24 hours is available for interview and filing deadlines. Digital PDF delivery is standard, and a USPS hard copy adds 2–3 business days.
Visa Types We Support with Professional Translation
Whether you're pursuing permanent residence or a temporary stay, we provide document translations for a range of immigrant and nonimmigrant visa categories. Some immigration visa applications for permanent residence begin with a USCIS petition and continue through NVC consular processing, while other routes follow their own procedure; nonimmigrant visa applications for temporary stays are generally handled by the U.S. embassy or consulate, and translation requirements depend on the filing and the receiving authority. For Canadian applications, Immigration, Refugees and Citizenship Canada (IRCC) has program-specific translation requirements, including certified-translator credentials or a translator affidavit where permitted, and our IRCC translation services help applicants prepare documents to the applicable instructions.
What to translate for each visa application
Document requirements vary by visa or petition category and by the receiving authority; the records below are examples of supporting documents that may need translation, not a checklist that applies to every applicant. Student visas (F-1, M-1) and exchange visitor cases (J-1): academic transcripts, diplomas and bank statements showing funds. Work visas (H-1B, L-1, O-1): employment letters, experience letters and qualifications. Fiancé(e) and family immigration cases (K-1, CR-1 and IR-1 visas, and the related Form I-130 petitions): marriage certificates, children's birth certificates, divorce decrees and proof of relationship. Tourist and business visitor visas (B-1 and B-2): bank statements, employment letters, invitation letters and company registrations. Investor visas (E-2, EB-5): financial statements, company documents and source-of-funds records. NVC immigrant visa cases: follow the Department of State's instructions on which civil documents need English translations and how they are uploaded. To order, send a clear scan of each document, the visa type and the receiving authority; the quote lists every document and its page count.

Translation requirements and document volumes differ by visa category, and employment-based petitions often add educational credentials, work experience letters and financial records. Our streamlined process supports multi-document orders, with checks for consistency in names, dates and terminology against the source records.
Notarization is available as an add-on at $15 per page when the receiving authority asks for it; USCIS requires certification only. Your sensitive information stays protected through our confidential and secure services, and every certificate is prepared to the requirement of the authority named in your order.
Foreign embassies and consulates set their own rules. Some ask for a sworn translator registered with the consulate or a ministry, some ask for the certificate to be notarized, and some ask for an apostille on the underlying civil document, which is issued by the competent authority and not by a translation company. The same applies to UK Visas and Immigration (UKVI) and to Schengen consulates, each of which publishes its own translation requirement. Tell us the country and the authority when you order; we review its stated requirements and confirm which certified or sworn translation options we can provide.
Mexican birth certificate translations are handled by our team to ensure that these essential records are accurately translated for submission to USCIS and other authorities, meeting all necessary legal requirements.

How to Find Us?
Frequently Asked Questions
The receiving authority's instructions decide which documents need translation. Foreign-language civil, educational, employment and financial records are the usual ones: birth and marriage certificates, divorce decrees, passports and identity cards, academic transcripts and diplomas, police clearance certificates, bank statements, employment letters and medical records. Send the document checklist and your scans for a quote; if a document type isn't listed, send it anyway; we review unusual formats and confirm them when preparing your quote.
Our certified translations include a signed certificate of accuracy prepared to the requirements USCIS publishes, and to the stated requirements of the embassy or consulate named in your order. The reviewing authority decides whether the documents satisfy its requirements. If additional evidence is requested, we review the translation against the source and the authority's instructions.
Certified translation starts at $25 per page, and the flat per-page rate includes the signed certificate of accuracy. Notarization is $15 per page when an authority asks for it, and a USPS hard copy is $20. Multi-document orders qualify for bulk discounts. Your written quote identifies the page count, applicable charges and requested add-ons; a page over the standard word limit, or one that needs specialized processing, may receive a revised invoice. Send your documents for a free quote.
Yes. Send your interview date and documents for an availability check. Same-day delivery is available on request for single-page documents, and Rush delivery within 2 to 24 hours is available for urgent deadlines. We confirm the delivery date before work starts.
Yes. The translation follows the layout of the original, with seals, stamps and signatures noted where they appear, so the translated information can be checked against the source. Editable files are returned in the format you sent, and scanned documents are rebuilt so each translated page corresponds to a source page.
We translate visa documents in 100+ languages using native translators. Available languages include Spanish, Chinese, Hindi, Arabic, Tagalog and Haitian Creole; for anything less common, send the pair and availability is confirmed right away.
Names, dates and places are checked character by character against your documents and reviewed by a second linguist, since inconsistencies can trigger RFEs or delays. If anything in the source is ambiguous or illegible, we query it rather than guess, and terminology decisions are logged so future documents match.
Yes. Notarization can be added at $15 per page when a specific embassy or authority requests it; USCIS itself requires only certification. Tell us the destination country and receiving authority when you order, and we confirm the available certification, notarization or apostille-guidance options before work starts.
Digital delivery is standard: you receive a PDF with the signed certificate by email. Printed and mailed hard copies are available on request for $20 by USPS within the United States. Some receiving authorities request printed documents, so check the submission instructions before choosing digital or mailed copies.
Send clear scans of each document online, plus the visa type and destination, and we return certified translations ready to submit. You get the price and delivery time in writing before anything starts, and support stays available 24/7 if plans change.
USCIS does not bar an applicant or a family member from translating, but the person who certifies the translation must be competent in both languages, and a certification signed by someone with a stake in the case can be questioned by the officer. An independent translator can help avoid questions about impartiality.
Vanan's certificate of translation is issued on company letterhead. It names the document and the language pair, states that the document was translated by our qualified and experienced translators and is an accurate and true translation of the original, confirms that the translator is not related to any party to the documents, and is signed and dated by an authorized company representative with the company stamp and ATA membership number. You can view the sample certificate before placing an order.
A legible scan or photograph is enough for us to prepare the translation, as long as every word, stamp and seal can be read. The receiving authority may separately require the original document or a particular kind of copy, so follow its filing instructions. If part of the source is illegible, we query it rather than guess.
A certificate or licence normally counts as one page; a long bank statement or transcript is counted by its pages. Your quote states the page count; a page over the standard word limit, or one that needs specialized processing, may receive a revised invoice.
Yes, when the required translation format is available. UK Visas and Immigration (UKVI), Immigration, Refugees and Citizenship Canada (IRCC) and each Schengen consulate publish their own requirements for language, translator credentials, sworn translation and certification. Provide the destination and the application type when you order so we can confirm the appropriate service; for Canada, see our IRCC translation page.
No. This service covers written document translation for visa applications; Vanan Services does not provide live interpreting for interviews or appointments. We can translate the documents you bring to the interview, including any letters or records requested after it.
