As this Compliance form is unilaterally binding upon us, it may be used by any party using Vanan Online Services as a proof for our declaration concerning GDPR compliance.
We have also entered into data processing agreements (DPAs) with all of our sub processors and we have a DPA available for customers as well. What personal information do we collect from the people that visit our blog, website or app?
When ordering or registering on our site, as appropriate, you may be asked to enter your name, email address, mailing address, phone number, credit card information or other details to help you with your experience.

The Company may retain Customer Personal Data to the extent required by applicable European Union law or the law of an EU Member State and only to the extent and for such period as required by such laws and always provided that the Company shall ensure the confidentiality of all such Customer Personal Data and shall ensure that such Personal Data is only processed as necessary for the purpose(s) specified in such law requiring its storage and for no other purpose.
The Customer agrees that after the termination or expiration of the Agreement its data may be stored as a backup for the time needed to secure (establish, investigate or defend) Customer’s and Company’s claims that may arise due to the performance of the Services (for the time it takes for the claims to be barred).
Right to Access, Amend or Erasure
Each data subject has the right to access, correct, amend, block or delete its Personal Data. The Company shall comply with any commercially reasonable request by Customer to correct, amend, block or delete Customer’s Personal Data, as required by Data Protection Laws, to the extent the Company is legally permitted to do so. If you wish to access, amend, or confirm that Vanan Online Services has Personal Data relating to you, or if you wish to correct or delete your Personal Information if it is inaccurate, please notify us at: firstname.lastname@example.org. If your Personal Data changes, or if you no longer desire our Services, you may correct, update, delete inaccuracies or request deactivation of your account e-mailing us at email@example.com. We will respond to your access request within 30 days. To request removal of your personal data from our testimonials or customer support forum, please contact us at firstname.lastname@example.org. In some cases, we may not be able to remove your Personal Information, in which case we will let you know if we are unable to do so and why.
Please be aware Vanan Online Services may have access to your geo-location data as we collect and process IP address of all devices you use to access our website or customer portal. Collecting and processing your geo-location data refers to mobile devices as well as computers. It happens regardless you are a Visitor or a Customer.

Social media (features) and widget
We post Customer testimonials on our websites which may contain Personal Data. We use pre-defined java script to display our Customers’ comments on our websites. In any other scenario, we do obtain the Customer’s consent via e-mail prior to posting the testimonial to post their name along with their testimonial. To request removal of your Personal Data from our testimonials or customer support forum, please contact us at firstname.lastname@example.org. Data correction, return or deletion requests will be answered within 30 days.
Blog Comment system
In order to post comments on our websites (i.e. our blogs) you must sign into Wordpress, Twitter, Disqus or Google, as we use ‘blog plugins’ to allow Visitors and Customers to leave comments on our blogs. No Personal Information is tied to your posts. You subscribe to our blogs by providing your e-mail address. We will only use this to send you an e-mail notification when new blogs have been posted and when users comment on a blog that you previously have commented. We will not use this information for any other purpose. You have the opportunity to opt-out from our blog e-mails by using ‘unsubscribe’ button.

Data Breach & Incident response plan
Data Breach is defined as the unauthorized acquisition or access of unencrypted Confidential Information or Personal Data that compromises the confidentiality, integrity, or availability of that information. A Data Breach can occur not only virtually through computer networks but also physically through unauthorized access into Vanan Online Services locations or computers. A Data Breach can also include any breaches that affect third-party vendors that provide services or hosting to Vanan Online Services.
Vanan Online Services maintains a Security Incident Response Plan that is based on guidelines from the US privacy law & EU GDPR.
All employees & sub-processors are required to immediately notify the IT Department of any actual or suspected Data Breach – including events that affect third-party vendors. The IT department will then follow the Security Incident Response Plan.
Vanan Online Services commits to notify affected individual via email as soon as possible but no later than 72 hours after reasonable suspicion of a Data Breach.
We may update this privacy statement to reflect changes to our information practices. If we make any significant material changes we will notify you by e-mail (sent to the e-mail address specified in your ‘customer account/order’) or by means of a notice on the website prior to the change becoming effective. Vanan Online Services Inc. provides a certificate of translation on all its translations.
USCIS accepts all our translations as we meet their requirements.
However, we require you to specify the purpose and all associated requirements of the translation at the time of order placement to ensure that the translation serves its intended purpose.
It is your responsibility to provide specifications and all requirements of the translation.
We start to work on your order as soon as the payment is received.
- If you need to cancel your order with us for any reason, notify us immediately through email, phone, or chat. In the unlikely case, we haven’t started to work on your order. We will be happy to refund 100% of the order value.
- If you need to cancel your order after a substantial amount of time after we have begun working on it, you are eligible to receive a partial refund for the work yet to be completed. We only charge for the work executed.
- We work with a vast network of professionals around the world, capable of handling a myriad of customer requirements. In some instances, depending upon the service, specifications and scope of the order, the service requested (translation, transcription, captions or any service that we offer) is completed within 8 hours of placing the order or earlier than the promised turnaround time. We are unable to accept cancellation requests after your service request has been executed.
- We choose to accept or reject orders based on file quality. In the event we reject your order that you’ve paid for, we immediately refund 100% of the order value.
Refund and Revision Policy
We do not compromise on quality, you shouldn’t too!
Our project management team inspects every source file and categorizes them based on quality into Excellent, Good, or Difficult at the time of placing the order.
Vanan Online Services Inc. does not guarantee accuracy on files categorized as Difficult.
We are unable to accept refund requests for Difficult quality files.
Source files for translation should be legible, and all text to be translated must be clearly visible. Source files where the image quality is difficult, i.e., blurry, containing handwritten sections, poorly scanned or photographed, can be particularly challenging to translate and might require revisions to ensure accuracy.
We request a typed version of the spelling of names of people and places from you at the time of placing the order to ensure accuracy and quality.
This will eliminate need for multiple revisions and cut down on unnecessary delays in processing your order and help in getting the final version of translation on or ahead of the promised turnaround time.
We understand our clientele’s need for a faster service delivery.
We offer an expedited service i.e. one day delivery with an additional charge (Rush fee/ expedited fee). When it comes to rush orders, time is of the essence, expedited orders are of high priority as we put our best resources on the job to meet the deadline, hence the expedite fee.
In the unlikely event of a quality issue on your order, we will make every reasonable effort to revise our work to your satisfaction.
We offer basic formatting on all translations. We strive to recreate the source document’s format within the time frame promised.
But it is important to understand that complex formatting takes time and we are unable to assure that on certain orders.
Errors and Mistranslation
We work with experienced professionals on all our projects. In the unlikely case you find any errors in the delivered files, please notify us and we will rectify it promptly.
Word preference | Choice of Words | Terminology| Edits
Languages are versatile and mutable, there are more than a few phrases and words to express the same meaning in any specific language. We do not consider this an error.
We highly recommend that you specify your requirements and choice of words at the time of placing the order. However, you can always reach us to revise your specifications and request edits. But please be advised, requesting edits and modifying specifications at any time while your order is being processed might delay the delivery of your order and sometimes result in an additional fee for the rework.
In case you are not satisfied with the translation, we will be happy to revise it with your choice of words.
Cancellation and Refund requests for additional services like mailing, notarization, speaker identification and time codes are accepted as long the service request has not been executed.
A Request for Order Cancellation / Request for Refund can be initiated by reaching out to our Sales team / Priority care team through email, phone or chat. Please cite your order ID in all communications with our team to cut down on delays in accepting your request.
- Every Refund Request is reviewed by our Customer Service/Priority Care team, in case quality issues with the delivered files are found, we immediately rectify errors and deliver the revised file to you.
- If there is a valid claim in the refund request and it conclusively proves that it failed our internal quality standards and proofreading, we will make every reasonable effort to revise and rectify errors to meet your specifications.
- If no acceptable solution is found, we negotiate a refund based on the extent of the quality compromised and the work executed.
- Refunds processed usually take from 5 to 7 business days to revert to the original mode of payment.
- All refund requests are handled on a case by case basis.
All notarization is done in the state of Virginia.

Vanan Online Services Inc. accepts no legal liability and indemnity arising from, related and connected to correctness and reliability of the material which is processed through or by Vanan Online Services Inc.
